Customers no longer click through menus. They ask. Here is why Webamboos built Dispatchit, a WhatsApp AI agent that checks your systems for the real answer and gets the request done.

For more than ten years, we at Webamboos have built websites, customer portals and integrations for companies in logistics, healthcare, e-commerce and enterprise. Over the last two years we noticed something changing in almost every project: the way people interact with a business online.

They don't browse anymore. They ask.

They ask an AI assistant instead of typing keywords into a search engine. They message a shop on WhatsApp instead of looking for the order tracking page. They send a voice note to the clinic instead of filling in a booking form. We wrote about the first signs of this in We already live on WhatsApp. Dispatchit is what we decided to do about it.

Chat is the new storefront

For twenty years, the website was the storefront: menus, product pages, filters, forms. It still matters, because it is where the truth about your products and services lives. But people increasingly want to talk to a business the way they talk to people: in a chat thread, which feels more human and more comfortable than any menu, with the business sitting in their contacts right next to family and friends. In Europe that thread is usually on WhatsApp. In India and Latin America, people go even further: they browse catalogues, place orders and pay without ever leaving the chat.

The problem is what happens inside that thread. Most questions customers send already have an answer somewhere in the business knowledge base, in a DB, CRM or an Excel. Someone on the team still has to look it up and type it back, every time. And most chat tools that promise to help answer from an FAQ uploaded months ago, sounding just as confident when they are wrong.

If chat is becoming the storefront, it needs to work like one: real stock, real prices, real orders, real actions.

What is Dispatchit?

Dispatchit is an AI agent on WhatsApp that connects to the systems a business already runs (DB, ERP, CRM, calendar or an in-house app), checks the real answer when a customer asks, and carries out the request: booking, rescheduling, starting a return or sending a payment link. It asks the customer to confirm before changing anything, and when it is not sure, it hands the conversation to a person on your team, with the full context, in any language.

It is built by the Webamboos team in Timisoara, hosted in the EU, and Dispatchit is a Meta Tech Provider with access to the WhatsApp Business API.

What Dispatchit can do

  • Answers from live data, not guesses. Stock, order status, schedules and customer records are checked in your systems at the moment the question arrives. Every answer has a source.
  • Acts, not just replies. Bookings, reschedules, returns, refunds and payment links, done in the same chat, with the customer's confirmation first.
  • Hands off to a human. When it doesn't know, it escalates. Your team gets a push notification on iOS, Android or email and picks up the conversation.
  • Understands voice notes and photos. Voice messages are transcribed and handled like text. From a product photo, the agent reads the text on it, identifies the item and finds it for the customer.
  • Learns from your files. Upload PDFs and links; links are re-fetched daily so the agent never works from an old page.
  • Your tone, any language. Friendly, professional or formal, answering in the language the customer writes in.
  • Keeps your number. With Coexistence, your WhatsApp Business number stays on your phone, and your team can reply from the phone or from the Dispatchit dashboard.
  • One inbox. All WhatsApp numbers and all operators in one place, with every action logged and tagged with the system it touched.
  • You stay in control. Ignore or block numbers, and write exceptions in plain language, such as "send discount requests to the team".

Setup takes two steps: connecting your WhatsApp Business account takes about five minutes, and connecting your app takes up to 48 hours. Shopify, WooCommerce, GoMag, MerchantPro and even an Excel file are supported out of the box. For custom or legacy systems, your developer installs one SDK and declares exactly which actions the agent is allowed to perform, as described in the Dispatchit user guide.

Why we built it

The hard part of a useful AI agent is not the language model. It is reaching the systems where the truth lives, safely, and doing something useful with them. That is exactly what we have been doing for our clients for a decade: integrations with ERPs, WMS platforms, CRMs and systems that are ten years old and still run the business.

So we built Dispatchit the way we build integrations. The agent never touches your database directly; it calls the functions you allow and gets a result back. Only the fields you explicitly allow can appear in a reply.

There is also a belief behind it. A large share of the messages support teams receive are repetitive questions whose answer is already stored in a database. We want Dispatchit to take those, so people have time for the conversations that actually need a person. The AI knows where the order is. A person knows how to talk to an upset customer. We automate answers, not relationships.

Who it is for

Dispatchit is shaped around the industry it works in:

  • E-commerce: order status, returns and payment links in the same thread
  • Logistics: live shipment status, rescheduling and redelivery
  • Healthcare: bookings and reschedules against the clinic's live schedule
  • Government: citizen requests opened, routed and tracked from the first message
  • Marketplaces: buyers and providers matched in chat
  • Enterprise: reads and writes across custom, legacy and off-the-shelf systems

What we expect

We are at the beginning, and we want to be honest about it. Dispatchit is running with its first clients, including online shops in Romania and Italy, and at events such as Prow Timisoara, where participants ask their questions on WhatsApp.

What we expect is simple: that a growing share of first contact between customers and companies will happen in conversations, not on pages, and that companies who answer in seconds, with real data, will win those customers.

For Webamboos, Dispatchit is also a lesson we bring back into client work: how to design software for a world where the interface is a conversation.
